Website and Service Terms

1. Who we are and when these terms apply
Call Covered is a trading name of CALLCOVERED LIMITED, company number 17204690, whose registered office is 48 Endymion Mews, Hatfield, England, AL10 0EW.
These terms govern use of this website. They also form part of the agreement for the Call Covered service where an order form, checkout, proposal, or written agreement refers to them. Any specifically agreed order form takes priority if there is a conflict.
2. Business customers only
The service is offered for business use. The person accepting an order confirms that they are authorised to bind the named business.
The service is not currently offered to clinics, healthcare providers, emergency services, or customers intending to collect health or other special-category personal data. Any exception must be assessed and agreed by Call Covered in writing before use.
3. The service
Call Covered provides an AI receptionist that can answer telephone calls, capture enquiries, record and transcribe calls, create summaries, send notifications, support bookings, and route calls according to an agreed configuration.
The precise features, included call allowance, telephone configuration, integrations, scripts, support, and setup work are those shown in the applicable plan or order form. AI-generated responses and summaries may contain errors, so customers must review important information before relying on it.
4. Caller transparency and recordings
Calls handled by the service are recorded, transcribed, and summarised. The customer must ensure that its greeting and other notices clearly identify the use of an AI receptionist and explain the recording and transcription in a way appropriate to its callers.
The customer is responsible for approving scripts, providing accurate business information, establishing a lawful basis for call processing, and giving any additional privacy notices required for its use case. Call Covered may require privacy or safety wording to remain in a call flow.
5. Pricing, recurring billing, and overages
Subscriptions are billed monthly in advance through Stripe and renew automatically for successive monthly periods until cancelled. Setup fees, plan prices, included calls, and overage rates are shown on the pricing page or order form. Any applicable VAT will be shown before payment and on the invoice.
A call is counted where it is connected for longer than 15 seconds. Spam and accidental hang-ups are not intended to be charged. Usage above the plan allowance is calculated at the applicable overage rate and charged in the following monthly billing cycle.
The customer authorises Stripe and Call Covered to charge the payment method supplied for subscription fees, setup fees, overages, taxes, and other amounts agreed in the order form. Failed payments may result in suspension after reasonable notice.
6. Trials and demonstrations
A demonstration is illustrative and may not reflect the customer's final configuration. Where a free trial is offered, its duration, included usage, payment requirements, and whether it converts to a paid subscription will be disclosed before the trial starts.
Trial access may be limited or withdrawn where needed to prevent misuse, protect callers, or maintain service capacity.
7. Cancellation
A customer may cancel before its next renewal through the available account controls or by contacting Call Covered. Unless an order form states otherwise, cancellation takes effect at the end of the current paid monthly period and prevents the next subscription renewal.
Charges already incurred, including overage that has not yet been invoiced, remain payable. Call data remains available during the active subscription and is then handled in accordance with the Privacy Policy and Data Processing Terms.
8. Customer responsibilities and acceptable use
The customer must provide accurate instructions, keep account credentials secure, maintain lawful telephone and call-forwarding arrangements, review the service configuration, and notify Call Covered promptly of errors or unauthorised access.
The service must not be used for unlawful, deceptive, abusive, discriminatory, harassing, fraudulent, emergency, medical, high-risk, or rights-infringing activity; to impersonate a person deceptively; to collect unnecessary sensitive information; or to make solely automated decisions with legal or similarly significant effects.
Call Covered may suspend a call flow or account where reasonably necessary to address a security, legal, safety, payment, or misuse risk.
9. Emergencies and professional advice
The service is not an emergency service and must not be used as a replacement for 999, 111, qualified emergency dispatch, or a monitored alarm service. Urgent-routing rules are operational preferences and do not guarantee that a person will answer or act.
The AI receptionist does not provide medical, legal, financial, or other regulated professional advice. Customers are responsible for ensuring callers are directed to appropriate qualified or emergency support.
10. Data protection
Each party must comply with applicable data-protection law. Call Covered is normally the controller for website enquiries, customer administration, billing, security, and its own business records. The customer is normally the controller, and Call Covered the processor, for personal data contained in calls handled on the customer's behalf.
The Privacy Policy explains Call Covered's controller processing. The Data Processing Terms apply to processor activities where incorporated into the customer agreement.
11. Availability and third-party services
The service depends on telecommunications networks, cloud hosting, AI providers, integrations, and customer systems. Call Covered will use reasonable care in providing the service but does not guarantee uninterrupted availability, perfect transcription, successful routing, or that every call will result in a lead or booking.
Maintenance, provider incidents, network failures, caller behaviour, inaccurate customer instructions, and events outside reasonable control may affect performance.
12. Intellectual property
Call Covered and its licensors retain ownership of the website, service software, platform design, documentation, and general know-how. The customer retains ownership of its business information, branding, approved scripts, and customer data.
The customer grants Call Covered the rights reasonably necessary to configure and provide the service during the agreement. Neither party may use the other's trade marks publicly without permission, except for factual identification required to provide the service.
13. Liability
Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.
Subject to that, neither party is liable for indirect or consequential loss, or for loss of profit, revenue, goodwill, anticipated savings, or opportunity. Unless a specifically agreed order form states otherwise, Call Covered's total aggregate liability arising from the service is limited to the fees paid or payable by the customer in the 12 months before the event giving rise to the claim.
The customer remains responsible for following up enquiries, checking important call details, maintaining alternative arrangements appropriate to its business, and deciding whether the service is suitable for each call type.
14. Changes and termination
Call Covered may update the website or service to improve functionality, safety, security, or legal compliance. Material changes that significantly reduce a paid service will be communicated where reasonably practicable.
Either party may terminate where the other commits a material breach and does not remedy it within a reasonable period after notice, or immediately where required by law, insolvency, serious misuse, or an unresolved security risk.
15. General
Neither party may assign the customer agreement without the other's consent, except that Call Covered may assign it as part of a genuine corporate reorganisation, financing, or sale of the relevant business. Delay in enforcing a right is not a waiver. If a provision is unenforceable, the remainder continues.
These terms and the incorporated order form are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, unless mandatory law requires otherwise.
